Welcome to Encircle. This app was built with you in mind; the person out in the field, doing the important work every day. Encircle is designed to make documentation fast and simple, so you can focus on what you do best. In this video, you’ll learn what you need to confidently get started documenting a job in Encircle. We’ll keep it clear and practical, showing you how to get the job done efficiently, and why these steps make life easier for you and your whole team. You can watch the entire video straight through or use the chapter markers to jump directly to what you need. Let’s get started! The first step in Encircle is starting a job. When you open the app you’ll see your claim inbox. To begin, either open an existing job or click Add Claim to start a new one. Here, you’ll enter some basic details, like the claim number or your internal job number. Don’t worry if you don’t have everything yet. Just add what you know and you can easily update it later. Click Save and your job file is ready to go. Now you’re set to start documenting. Every photo, note, signature and report you capture is automatically tied back to this job, keeping everything organized in one place. And the best part? Encircle is built for teamwork. Multiple people can work in the same file at the same time. While you’re capturing photos in the field, a teammate might be adding notes in another room, and your office team can follow progress in real time. That collaboration means faster documentation, smoother communication and less waiting around. It’s all about making your work easier and setting you and your team up for success. Let’s talk about Rooms – one of the features that makes Encircle really powerful. Adding a room is simple. Just click Add Room and give it a name like Kitchen, Basement or Hallway. Then click Done. In seconds, your room is ready. Why does this matter? Because restoration happens step by step, room by room. Encircle mirrors the way you already work, keeping every photo, video and note organized exactly where it belongs. That means no more digging through cluttered folders—just clear, structured documentation that anyone on your team can instantly understand. And when it’s time to take photos, you don’t have to stop and reset when you move between rooms. Simply select another room or add a new one, right from the camera, then keep documenting without breaking your flow. Photos are the foundation of great documentation, and with Encircle, capturing them couldn’t be easier. Open a room, tap the plus button, and select Add Photos and Videos. The camera feels just like the one on your phone. Snap with the Capture button, or use the Volume key if that’s quicker for you. Start with a few wide shots to capture the whole room. Then zoom in with close ups to highlight specific details. And if you need to point something out, you can quickly and easily mark it up. Want full coverage? Encircle supports 360 photos too. Just connect a Ricoh Theta camera and capture an entire room in a single shot. It’s one of the fastest and most reliable ways to capture a complete room overview, giving your teammates, estimators and adjusters everything they need, even if they never set foot on-site. Clear, well organized photos tell the story of the loss. They protect you from disputes, justify your estimates, and help you get paid for the work you’ve done. And in Encircle, every photo is automatically organized by room, labeled and stamped with the date, time, user, and GPS coordinates. So, your documentation isn’t just easy—it’s defensible, professional, and built to stand up to any scrutiny. Photos capture the details, but videos bring the story to life. From the camera screen, switch to Video mode and start recording. Take a short walkthrough of the room and narrate as you go. Include details like: the source of loss, what materials are impacted, salvageable and non-salvageable materials, if known any discoloration, hazards, or things that could become an issue later, density of contents room measurements if you know them, next steps or proposed work. In short, just speak to the loss in as much detail as you can. When you save your video, you can generate an AI-powered summary with one click. Encircle then transcribes your audio in the background. And a few moments later, you get a formatted summary of everything you’ve discussed in the video, including key topics, important callouts, and action items. This summary can then be added to a general note or a room note, enabling it to be used in your reports. The AI engine supports over one hundred input languages, so your field staff can speak in their native language. Encircle transcribes and then translates the video into your choice of an English or French summary. This enables your team to turn walkthroughs into clear, digestible insights without ever stopping to type. Video adds clarity to your documentation that can’t be disputed. And if you’re using Encircle scope, all that rich context will help you get a really strong scope of work. With Encircle, every walkthrough you capture strengthens your documentation and sets your team up for success. Notes are an essential part of telling the story. There are two types of notes in Encircle: Room Notes and General Notes. Room Notes capture what’s happening in a specific space. Use them for details like the source of loss, structural damage, pre existing conditions, or safety concerns. You can even attach photos or videos right inside the note, keeping all the context in one place. General notes capture information about the job as a whole. Use these for site instructions, conversations with the customer, or updates about the schedule. Keeping notes organized this way makes your final report easy to follow, so adjusters clearly see both the big picture and the room-by-room details. And here’s a bonus: your company may have set up note templates inside Encircle. These give you prompts on exactly what to write, making notes faster, more consistent and easier across every job. Paperwork is so important. It protects your business and your work, but it shouldn’t slow you down. With Encircle, all of your most important contracts, forms, and documents are always right at your fingertips. Whether it’s a work authorization that needs to be signed before you start work, or any other custom form that Encircle has built for you, everything is right there when you need it. Getting documents signed on-site is fast and easy. Open the form and you’ll see job details automatically filled in. Hand the device to your customer, they sign, and the signature is saved directly to the job file. This keeps your jobs moving forward. No waiting for paperwork to come back. No missing forms. No extra follow-up. Everything is completed on the spot, tied to the job and immediately available for your team. Once you’ve captured all of your documentation, Encircle makes it easy to bring everything together into a polished report. From the home page of the job, click Documents. Then, click Generate Report. Choose the Encircle PDF report. Select exactly what you want to include; photos, videos, notes, whatever you need. Add a cover photo. We recommend the front of the property, and a short description. Click Save and within moments you’ll have a professional, organized report with a clickable table of contents and interactive media. You can review, edit, and share the report right from the app, even before you leave the property. A strong report tells the full story of the loss, clearly and completely. It helps readers make faster decisions, reduces pushback, and keeps your work moving forward. With Encircle, your documentation doesn’t just stay organized; it gets transformed into reports that build trust. Encircle keeps your whole team connected, no matter where the work takes you. Every photo, note and signature you capture is automatically synced to the cloud. You can always check your sync status in the corner of the app. And if you’re offline? No problem! Encircle stores everything safely on your device and syncs at the moment you’re back online. The real power is collaboration. Multiple people can work in the same job file at the same time and see updates instantly. While you’re documenting in the field, your office team can review progress, add notes, or prepare estimates. That means no waiting, no gaps, and no duplicate effort. Everything flows in real time, so your jobs move faster and smoother. With Encircle, your entire team works as one—connected, efficient and always in sync. Encircle is more than just another app. It’s the tool that lets you document jobs quickly, keep everything organized and generate reports that tell every must know detail of the loss. It’s as simple as starting a job, adding rooms, capturing photos, videos, and notes, getting paperwork signed on the spot, and creating a report before you even leave the job. That’s it! Simple steps with powerful results. The better your documentation, the smoother the job goes for you, your team, your client, and your adjuster.
