If you’re an admin or business owner, let’s get your company set up to start taking payments. In the Encircle web app, head to the Payments tab and click Begin Payment Setup with Stripe. Enter some basic company details and continue with the setup. You’ll be prompted to create your Stripe account. Use the same email that you use for Encircle. Stripe will guide you through creating a password and setting up two step authentication using an authenticator app. Next, fill in your business details, things like your legal business name, tax number, and industry, along with information for your business representative. You’ll also connect your bank account so Stripe knows where to send your payouts. You’ll review your company info before submitting. Once your profile is complete, you’ll be prompted by Stripe to verify your identity. This only takes a few minutes. Just scan your ID and take a quick selfie. Do one final confirmation and Stripe will verify your business details, typically within 24 hours. Before you wrap up, take a moment to brand your experience in Stripe. You can add your logo and brand colors so receipts and payment screens look polished and professional. And if your team uses iPhones, don’t forget to open the Encircle mobile app and accept Apple’s terms and conditions. From the Help and Support menu, click Get Started with Tap to Pay on iPhone, and then follow the prompts on screen. This step only needs to be done once for your entire organization. That’s it! Your setup is done. From here, anyone on your team with standard permissions or higher can start requesting and collecting payments right away. While Encircle makes it easy for your field teams to collect payments on-site, you can also send a payment request to your customer right from the web app. This is useful if the customer isn’t on-site, or if you need to collect payment later. From the Overview tab or the Payments tab, click Send Payment Request. Enter a brief description and an amount. Then confirm the customer’s contact info. Click Send Request and they’ll receive a secure link by email and text. They can pay from anywhere, no login or extra app required. The payment will process immediately and show up on the claim within minutes. Once you start collecting payments, you’ll want to keep an eye on everything from the Payments dashboard. Here, you’ll see a full list of transactions, with filters to sort by amount, date, status or payment method. Click any transaction to see more details or to issue a refund, either full or partial, right from Encircle. You can also track when payouts are headed from your Stripe account to your bank account. In the US, payouts happen two business days after the transaction. In Canada, payouts happen three business days after the transaction. If there’s ever a dispute, you’ll see a notice in the dashboard and a dedicated tab for disputed transactions. You can follow the prompts in Encircle to counter the dispute and submit supporting documents quickly, so nothing slips through the cracks. Always add clear descriptions so your customers know exactly what they’re paying for. Encircle gives you two options: Tap to Pay and payment links. When you’re face to face with the customer, Tap to Pay is the fastest and easiest option. It also offers the lowest rate at 2.95% per transaction. Open the job in Encircle. Tap the top right menu and choose Request Payment. Select Tap to Pay, then add a short description along with the amount you’re collecting. Make sure the description is clear so your customer knows exactly what they’re paying for. Customer information will fill in automatically from the job, but you can update it if needed. When you’re ready, click Tap to Pay and hand the phone to the customer or simply hold it out. They’ll tap their credit card or mobile wallet and that’s it. The payment processes instantly and a receipt is emailed to them right away. For Canadian users, there’s a $250 limit per tap before a PIN is required. For larger payments, you can conduct multiple tap transactions or send a payment link. If the customer isn’t on-site you need to collect payment later, send them a secure payment link. On the Payment page, select Payment Request. Enter a description and an amount, then confirm the customer’s email or phone number. Click Send Request. And they’ll receive a secure link by email and text. They can pay from anywhere, no login or extra app required. A record of their payment will appear in the Payments tab of the job. And that’s it!
