A new era of estimating✦
Your data, your expertise, from scope to estimate
Hey, good afternoon. Welcome everyone. We’re so glad that you’re here. Before we get going, I just want to take a second to thank everyone who’s joined us today for taking an hour out of their day to to join us for this exciting event. We had over a thousand people register for this event, including hundreds of Encircle customers. We’ve got teams who aren’t on Encircle yet checking us out for the first or maybe second time. We’ve got familiar faces from the rest restoration industry who cover this space closely. And I know even a few of you here today are from our competitors. Everyone is welcome. We’re so glad that you’re all here. And we know that if we’re pulling this kind of a crowd for a Thursday livestream, probably tells us something about what we’re about to show you. Today, we are launching Encircle Scope to Estimate. I’m not gonna steal anybody’s thunder because I’m about to hand things over to Encircle CEO, Paul Donald. But here’s the gist. What we’ve built has never been done before, and this is the biggest transformation for restoration estimating ever. I do want to start by being very clear, though, that the story today isn’t that AI is replacing your estimator. It’s actually the opposite. So stick around, and you’re going to see exactly what I mean by that. Who are you gonna hear from today? Well, Paul is going to open things up first. Shaun’s then gonna show you exactly how Scope to Estimate works live. You’re also gonna hear from Joe Ledbetter, who’s our Principal AI Innovator at Encircle. And you’re gonna hear from David Herring, 30 years in property claims and appraiser, witness, and author of “Every Claim is a Negotiation.” David’s joining us to talk about what exactly sets up a job to get paid. Shaun and Joe are gonna walk through a real life case study from start to finish, and then we’re gonna close things out with a great fireside chat panel discussion. I’m gonna come back at the end with pricing, how to get access to this exciting new feature, and also a couple of ways to win some really great prizes. So stick around, right until the end, we have an action packed hour. That’s it for me. Over to you, Paul. Thank you, Leah, and what an exciting day today is, and welcome to all who are joining us today. As you all know, AI has changed the world in ways that none of us can deny. It’s broken down the barriers to problem solving. Think about really complex solve solving like advanced medicine, reusable rockets, and, yes, friendly user friendly software. The sheer amount of problem solving happening today is unprecedented unprecedented from any other time in history. But thanks to these advancements, software development is no longer the limiting factor, bringing companies like Encircle to be able to service our customers in amazing ways that we could only have dreamt of a few years ago. And let me tell you, building software for the restoration industry is incredibly complex because your businesses are complex. Running a restoration company is tough. You have to deal with the cyclicality of the industry, which many other industries don’t deal with, inflation, employee turnover, complex demands from your customers from that crazy ecosystem you operate in, not to mention the administrative bottlenecks in your business. One of the biggest bottlenecks is writing timely and accurate estimates and then backing them up with audit complete, accurate, and auditable data. Who of you don’t struggle with timely estimates, and then get pushed back months later hearing AR for months and months is something this, industry struggles with. And to add on to the fact that RCs only get paid for the work they document, not the work they do. But today, my team and I have taken a major step forward in solving the estimating bottleneck while also ensuring you’ve got all of that auditable data to back up your estimate to make it fully defensible. Long before AI was part of this conversation, we built a system for capturing this clean structured field documentation, included photos, videos, notes, moisture points, floor plans, contents, and more. And we’re constantly moving that platform forward, making it easier to be able to document that information to give you the details that you need to be able to create that defensible file with a timely accurate estimate. Yes. That was 14 years in the making, and that’s not going anywhere. Because without defensible data, AI is a creative tool generating a plausible story. And for you and your business to thrive, you must have a defensible story. That’s what, Encircle delivers. So applying AI in the right way helps you manage through the administrative complexity both in normal times and high capacity times, making your business more resilient, more scalable, and more profitable. You’ll start to see what that looks like as Shaun walks us through the new Scope to Xactimate Estimate. And remember, this is just the start. This workflow will expand in the near future to include repair estimates, custom price lists, work orders, and more. The scope that you see will actually be able to inform various parts of your business to become a system of action. That’s our goal and commitment to you, the restorer. And with the speed of innovation, you’re gonna see these new innovations come out very rapidly. But let’s look at Scope to Xactimate Estimate, what we’re talking about today, what we’re launching. And why is this bringing in a new era? Well, it starts at a simple yet critical point that many contractors get wrong. The field technician creating the damage description. That damage description is the important narrative that shares everybody who’s reviewing it or adjusting the file, shares with them why you made the decisions you made. Without that, you’re gonna have a an armchair quarterback analyzing your decisions without knowing what you were thinking or the complexity you were dealing with at that time, and that’s not gonna bode well for your business or getting your invoice paid. So describing that damage is the first step that then feeds into a detailed scope, and now that feeds into the Xactimate estimate. Yes. Encircle Scope to Xactimate Estimate is the straightest line from field documentation to a defensible estimate that you will find. But as they say, seeing is believing. So I’ll let the product do the talking from here. So let’s turn it over to Shaun. And, Shaun, show our guests what the product and workflow can do for them. Perfect. Thanks, Paul. Really appreciate that introduction, and I’ll echo everything you’ve said. I’ve been at Encircle almost six years now. And from day one, our ethos and what Paul has been talking about in in educating me on our other employees and and our industry is that line that he said is you don’t get paid for what you did. You get paid for what you documented. And Encircle has been there as a partner to our customers to help them document the loss, capture the data that they need. And now, as Paul said, with the advent of AI, we can help take the work you’re already doing today, provide guidance, analyze and synthesize that data, and then get it down into other workflows. We’ve talked about that over a variety of webinars, over the last year. And now with Scope to Estimate, and I’ll show that off, in a few minutes, you can see how we take the work your team does in the field, captures that data. We transform that data and provide it to those that need it, the estimator, the project manager, and others. And as Paul said, this is just the beginning. So AI is really this solution, Encircle AI, we’ve created sits in between your team. It supports your team in the background. It does the work that, you know, some people you know, we just don’t like doing the research, the analysis, viewing all the photos. We can leverage the power of that technology with with the experience, the security, and the knowledge from Encircle in our industry to take that data that was collected by your team in the field, which is the most important thing, and transform that and get that to the estimator. So they can then review the information, refine it for accuracies, apply your team’s SOPs, apply any specific rules to that job depending on where it came from. But and this is where AI again, as Leah said in the opening, we are not replacing anyone. This is sitting side by side the teams you already have in the field, the teams that need to continue to do the work. They bring the expertise. Your field team shows up on the job every day. They need to document that loss, describe what’s happening, and capture that. And they need to hand that off to the estimator, to the project manager so they can do their work, create the estimate, and create the work orders. We’re taking AI and helping taking all that information, analyzing and organizing and producing documents. We started with Scope earlier this year, now we’re moving into pushing that into Xactimate. So, that’s how it kind of fits and where it belongs in restoration. So how does this actually work in Encircle? It actually mirrors what the slide that we just showed you. So the first step, as with any job, as what you’re doing today, is your team goes into the field. And the most important thing that we’ve been seeing as people have been using Scope and we’ve been working with them to refine our product and work on Scope to Estimate is getting that really solid damage description right in the front. And then follow that up with photo documentation, notes, 360 photos, videos, video summaries, hydro readings, moisture readings, equipment, all the functionality that we’ve been working on for 13 years to allow you to document and capture that data. You capture what you need. And then with a push of a button, we analyze all that information. We create the project narrative based on that damage description, based on the photos that are there, the floor plan that drives the measurements. We break it down into what needs to happen at the project level, what needs to happen in each of the affected rooms. We can calculate the equipment that’s required, helping do that work on your behalf. And one and it is all backed up by kind of the IR CRC guidelines. And we provide direction to you as well that we think, hey. There’s some missing information. So we work in tandem with with with you through this feature. And now with Scope to Estimate, you can take that scope and send it straight into Xactimate, starting off and kick starting your estimate with a sketch with the floor plan. Rooms that are broken down with line items that are attached to them based on whatever price list that you’ve assigned to that project when you created an Xactimate. You now have a preliminary estimate with a price either within ten minutes of showing up the job on day one or at the end of the job. Our tool is flexible enough and evolves with you and your workflows. Now let’s see what it actually looks like and go through a demo of, what Scope to Estimate looks like. We’ll switch it over to my screen here. Give me one second. Ah, there we go. Perfect. So here’s a sample file that we’ve had. This is a standard few few room water loss, from a documentation perspective. So this is kind of a job that’s nearing the end. So we’ve done an initial analysis of the job and inspection. We have some follow on daily notes. So you can see here, this is the initial damage description that was done on this job using, voice to text, allowed that technician to speak and describe everything that they saw in the job. And then they followed up and did the research and did the documentation of the job, created a floor plan, identified all the rooms on the job site, identified which ones were impacted, affected, what materials, added photos and notes to all those rooms. And then a scope was created. Now from this scope, you can see here, we provide that narrative that we talked about. We provide the tasks and all the information from you. Now once that’s done and the scopes take between five to ten minutes depending on how large that project is. Now when you wanna get into Xactimate, you know, Scope was a click of a button and setting to Xactimate is a click to click of a button. There’s a few steps. The process needs to start off in Xactimate. So similar to what you do today with other vendors, say, like, EagleView or with Encircle and sending a floor plan into Xactimate, need to go into Xactimate, select a project, and do a vendor data request. And what this vendor data request is, it connects your Encircle account with your Verisk project so that when we send that request, we know where to send data back into. So when within Verisk, you get sent to their vendor request page, click interiors, you fill in this information. For those that already do Floor Plan to Xactimate, you’re familiar with having to replace the claim number with our Floor Plan ID. When you’re sending a scope, you no longer need to do that. We’re updating the workflow that allows you to just send the information as it is, making it even easier for you within Verisk to or within Xactimate to send the data. So you don’t need to change any information on that screen. Now you hit send. You go back into Encircle now into the scope, the specific scope that you wanna send, you click send. And here, you’ll you’ll see the request that you’ve sent. So in this example, we actually are working on two projects right now. We have vendor requests for two different estimates. But I know this is the right projects because I can align the Xactimate claim ID that I had in Xactimate with the same ID that I’ve entered in Encircle. So I click connect. I go. And now we just confirm. Okay. I wanna send. This is the mitigation scope. This is the title of the the scope I wanna send. This is the Xact project that I wanna send. And by the way, here’s the floor plan that was used to generate this scope. And if you’ve used multiple floor plans, for a specific scope, we’ll we’ll import all of those floor plans as well. And then you hit send, and it’s as simple as that. And at this point, what Encircle is doing now is, with our new AI estimating services, we’re breaking down the floor plan like we did before and turning it and converting it into an Xact sketch. At the same time, in parallel, our AI service is taking the tasks that were identified in the scope. Whether it was Encircle identified or if you’ve gone and updated the scope itself, we’ll take in that information if you’ve added specific line items. It’s breaking those tasks down and matching them to line items within Xactimate. And then once the sketch is created and the line items have been created, we pair and match those line items into the room. And then when all that is done, we send it off and send it back to that project. For demo’s sakes, you know, this is all done. You’ll receive a notification within the Encircle. You’ll also receive a notification within Xactimate. So if I open up here, you can see for this project, the send is complete, and we’ve sent measurement data. That was that interior measurement that you send. So now if I open up a project and to save time, I have it preopened. Let me move it over here. This is what you’ll see. You’ll show up in in your Xact project. You’ll go to your sketch like you do today when you import any data into Xactimate. You click yellow and then you select your import. And, again, you can send multiple things into a given project. So pick the one that you want. I’ll pick the first one here. This point, Xactimate decompresses the information we sent, decompresses the Xact sketch, decompresses the line items, and places it within your estimate. And there you go. Within a couple minutes, you have your sketch within Xactimate, and you can now see we actually have a price on this estimate. And that price is derived from the price list that you chose when you created this project. And if I move into line items, you can see now we capture our project level tasks that you see at the top of the scope with the quantities, with the units that we send, and then the pricing is based again on that price list that you select. And then for all of the affected rooms that we identified in the scope and had tasks associated with them, they’re completely priced out in line here. And now your job as the estimator no longer needing to sift through the Encircle data, sift through notes that have been created, emails that you may have received, or side conversations. If all the data is Encircle in Encircle, you now have the foundation for your estimate. And you can go through here and review these, match it up against other information that you may have, follow against your own processes and how you estimate and review the data. And then if there’s anything specific for a carrier, for instance, what do you need to modify? So saving you that research time and the initial creation of drawing this, excuse me, drawing the sketch and creating the line items, you can now jump straight into review mode. And right away, you have that initial estimate. That’s how easy it is. That’s how easy we’re trying to make things at Encircle. We make it really easy to organize and capture your data. We made it really easy to synthesize that data into a scope, and now we’ve made it even easier to send that scope and create that first pass of that estimate for you. So we’re really excited about that. And now after that demo, we we’ve been beta testing this feature for well over a month now with customers. And we have to say we’ve been very very pleased with the feedback that we’ve received from our customers. And what they’re what they’re telling us is, how we take the scope and match it to exactly make works really, really well. And the biggest learnings that they’ve had and that we’ve had and that we’ve worked together is right up front. Like, every job before this technology existed was, did we capture the data right? Did we write the right damage description? And as soon as those, the team in the field really understands writing that and capturing that damage description and then following that up with the photos, those scopes the quality of those scopes went up. The defensibility of those scopes went up, and then the quality of the estimates went up. And so we’re really excited, and that customers are really happy for it. And so then later today, for those that already have Scope, we’re gonna make this live. You’re gonna be able to start testing this out. And now what I wanna do is hand it off to David Herring. And there’s a reason why we brought David in here, and Leah mentioned it earlier. David, with his vast experience in the industry, really helps hammer home the need for that setting the foundation for the job from day one, creating that damage description. And our scope and Encircle has always been about getting that data on day one. So thanks very much for your time. I’m gonna hand it back over to David, and I’ll see you in a few minutes. Hey, everyone. Hope you’re doing great today. I I wanted to talk to you briefly about pivoting your your thought process just a little bit. Okay? When I say pivot, you think of yourself as a restorer, and you are a restorer. We do mitigation. We do reconstruction. We do fact finding. We do all of this. But I want you to start the process on every one of your claims slightly different. I want you to stop and think as a building scientist. What does a scientist do? Super simple here. You have a hypothesis. You test against that hypothesis, and you report your findings. So what you would normally do when you walk in one of these losses is you walk in walk in the loss and let’s just say walked right in the front door. And you walked in the into the foyer, and you saw that there was water on the left side of the back the back wall of the of the foyer on the left side commingled with the wall. It’s about two square feet. Well, in other worlds, we would just say, oh, we’ve gotta pull 32 square feet drywall. We’ve got some insulation there. We’re gonna have to put this many dehus here. We’re gonna have to do this and this and this and this and basically listing out a scope. I want you to back up from that scope because all that did for you when you saw that water damage was start you in the direction of a hypothesis. With the tools that Encircle’s making and many other are making, but I really like what Encircle’s doing, you’re going to be able to capture a level of detail that you couldn’t do before. If you were to take any conversation you ever did and you compare that to any writing you ever did, you would find that your your your words are always more descriptive. You just do more. It’s less effort. So it flows off the off off your lips easier. Let me give you an example of what this this building science kind of methodology looks like, and this is something that’s happening today. We had a loss that was called in. It was a 7,200 square foot building, and it was leaking like a sieve. And the tenants that were in that building were demanding of the owner and demanding of the carrier replace the roof, replace the roof, replace the roof because we have water damage. Well, when we originally went in there, we thought that they were probably correct. But instead of just owning that and saying this is the scope and this is what we have to do, we looked well into the structure to find the cause of the loss to figure out how we were gonna annotate that loss. And what we found was there was a roof drain that was a problem. There was no problem with the roof membrane itself. So instead of doing a one point seven million dollar repair, the repair itself cost less than $500. The restoration still has to happen the same way because they have water. But the point is what the restorer did was save everybody a lot of trouble by properly looking at it as a building scientist rather than just saying, hey. There’s some scope here. And I think that if you’d start to think about that over and over again, I just find this in my own practice. You know, I recently did an, an inspection where I inspected 998 windows over a three day period. And by making my notes, audible, I was able to do that in three days, what it probably would have normally taken me about seven days to do otherwise, and the quality of my work was way up. And I think that we’re getting to a point, and I I think that what Joe is gonna talk to you about today and is gonna be amazing because if you get down to it, we sometimes walk a loss when we think about writing an estimate. And the truth is that the line items result from a scope, but line items don’t get produced in the field. If they do, it’s a disservice to the process. If you do, you know the people who do that because they end up with too much equipment and too much labor and not a way to justify. And this allows you to to drag that all the way back into Xactimate, and that’s gonna change the day because it’s gonna take you out of skilled secretarial work. People don’t like for me to say that, but writing an Xactimate estimate is skilled secretarial work. And you as a restorer don’t do skilled secretary work terribly well. I know that because I know a lot of you. So but you do the work itself very well. So this focuses you on the work. And what this will also do if you move to this bill building science kind of way of looking at things and the way to scope something audibly, it means that the value of what you’re doing with your of the data that you’re getting from the insured, for example, goes up because you’re bringing every bit of that data into the conversation. You got got all the witnesses that were part of that, and that’s gonna become part of the annotation that you do. And keep in mind, the power of doing this this way also means that when it goes out to, say, a carrier, you’ve already done the work to annotate that file in a way that a note can be sent along with the estimate that takes the that basically does the carrier’s job for them. Most people don’t realize that the carriers do an initial report, and they do progress reports all during the the claim file. So anytime you can give them that narrative, you’ve you’ve basically changed the trajectory of the claim you’re working. And I can tell you from someone I talked to yesterday, they said the people who do that get about 90% more things cleared. It’s just the way it works because they they don’t have to make up a narrative. You made it up for them. But the key is, and I think it’s it’s beyond it’s beyond what we’re used to because everybody knows, all of you know, that we all try to use the best scope sheet. We look for the best scope sheet. I’ve said for a long time that Encircle is about the best scope sheet I’ve seen, but we were always looking for that scope sheet. And my cat, only shows up whenever I’m on film. Anyway but my my point is that that you’re at a you’re at a point in your business where it’s gonna probably cost you less to operate, to make far more money, and to provide a much better context on what you do. And remember this because this is probably the most important thing I can tell you. You do not have to send the most high paid technician out to the loss. You need to send the technician that can investigate the loss and tell the story because that narrative is, in fact, the one thing that’s gonna take this from an inspection to an estimate to a narrative to a paid claim. And I think that’s honestly really powerful, and I think that anybody can do this if they will just slow down and think this through instead of thinking like a restorer who’s trying to just cram in a bunch of line items. Think about it from a narrative perspective, from a story perspective. You know? My mother told me once, she said everybody likes a story, and it’s true. Even the insurance companies like a story. They like to understand how it how it works. And I’m I’m really excited to sit in with with Joe and the team and learn a lot more about how you’re taking this stuff in the field and bringing it all the way into Xactimate. Thank you so much, David. That was that was amazing. I love the idea of thinking like a thinking like a scientist and and telling telling a good story. Everybody with a good story, everybody can get on the same page. Before before we leave, I would like to to ask the audience a poll question. I’d like to know, does for for everyone joining today, does your team capture a detailed damage description at the start of every job today? Like David described it, where you’re describing what you’re seeing in a in a rich narrative using your voice and not your thumbs to capture all of that that detail. David, I don’t know if you can if you can see the poll or or if it’s just me. But it is 50/50. It is dead even. Like, it’s split right down the middle 50/50. We’ve only had about 40% of the people here participate, but, I mean, it’s a it is a close horse race. Right? Do you have any thoughts on on that? Well, I mean, that that’s it it’s it’s it’s the big sin because it’s just the same it’s the same thing we’ve all done. We all get in a hurry. And this is why on the restore side, this is why you turn in your invoice a month after you finish the job is because we didn’t start with the first thing. And by not starting the first thing, we we we we slowed down the entire process. And I think that’s I I I bet you anything if we talk to some of these people, 48% of the people who said yes, we’re gonna see that their claims move faster. Yeah. Super interesting. Let me just move to the next slide. As part of as part of this changing or pivoting your your thinking towards a building scientist and and really focusing on that damage description, for that those 50% of people or 52% who don’t routinely do this, We’ve worked with David over the last couple of months, as well as with our internal team, and we have built a a course called what’s your damage? How to get the most out of your job data by streamlining what you capture, telling that story, giving better descriptions from the field. Because, like like Shaun mentioned, that was the that’s been the big unlock for Scope to Estimate. If you can send a great storyteller into the field, everything downstream is going to be better. Absolutely. And that estimate, the the the pay the payoff in that estimate is going to be faster. It’s going to be more defensible, and it’s gonna be more profitable because you’re telling the whole story, and you’re gonna get everyone on the same page. So we’ve created this course. This is not just for, you know, owners or or admins or estimators. This is for everyone on your team. We want everyone to take this course. It’ll take about ten minutes, really short videos, couple of additional resources. So the the link to the course is in the chat. You can scan the QR code here. We want everyone to to do this course. Whether you’re an Encircle client or not, you can take the course. But if you are an Encircle customer, everyone who completes the course in the month of September or between now and the end of September, you’ll go into the a draw to win one of 16 prizes, including a YETI Tundra 45 cooler, which is super cool. So great course. It is separate from Scope to Estimate, but very much related because your your estimate is only as good as the damage that’s described in those first ten minutes. So speaking of which, we’re gonna hand things over to Shaun and Joe, and they are going to show what to do in the first 10 minutes and beyond in the restoration workflow. Thanks again, David. Thank you. Perfect. Thanks, David. Thanks, Leah. Super super valuable information. It really feeds into what Joe and I wanna talk about. We kinda the idea here is kind of a bit of a bit of a case study. So, you’ve been at Encircle now, I think, year and a half or almost almost two years. And I think from day two I say day two because I think day one, you’re just trying to get your laptop up and running and and log in to Slack for the first time. But since day two, you’ve really been hammering home and telling us about, exactly what David said, the ability to use your voice to to kinda describe describe the loss. So we I think what we wanna walk, people through here is, like, what’s a great example of kind of initial damage description that that you could do right as soon as you’re walking the job? And then for the folks here on the webinar, we’re gonna show you what it looks like in Encircle, how that scope evolves over time. But, you know, Joe, well, I’ll hand it over to you and kind of talk about, like, how would you approach and what’s a what’s a good example for for for the people of the webinar today of how you would describe that that first loss. Yeah. Absolutely. And, Shaun, what I’m gonna do is I’ve got my app open. I’m actually gonna go ahead and just do the description right now so you guys can all hear it. And then you can use that description to run a scope. So like David mentioned, right, like, we’re all restorers. We all understand what we have to do. It’s easy. We kind of get it up here. The challenge is we never really describe it. Right? And when that file gets downstream, like, there’s a lot of things that are misinterpreted or not really understood. And so the best thing to do is just give a simple description of the environment. Tell the story as though you’re explaining it to people that can’t see it, that people for people that’ll never step place in this room. Right? And so what I challenge you all to do is close your eyes and listen, and I want you to envision the space that I’m about to describe. Right? And this will help you understand how to do a great simple, damage description. So let’s see here. Record. Source of loss is a damage supply line inside the wall primary bedroom. Water appears to be clean. The bedroom excuse me. The bedroom is approximately 15 by 12 by 8. The drywall is affected. I used a meter on, and it came back wet. There’s carpet installed. There’s baseboards installed. There’s some contents in this room. One of the things that we should probably do is extract the carpet, but it’s a category one. I think we can save the carpet, but we should probably take out the padding. The next room that we have that’s affected is the hallway. The hallway is like a nine by three. That particular room has a hardwood floor, and it’s definitely really wet. Water’s coming up around the wood, and we have baseboards and drywall installed in there as well. The next room that is affected, the water’s migrated its way into the second bedroom. That bedroom has carpet installed. It also has drywall and baseboards installed as well. The carpet is gonna need to be extracted. We’re gonna need to do some cleaning and disinfecting, obviously, throughout the whole project. We go into the next room that’s affected, which was the bathroom off of the hallway. This room has a vinyl floor. This room has drywall. It has baseboards as well. The drywall is wet, again, testing from the meter. One thing I do see is that the vanity is swollen at the bottom pretty bad, and it looks like the vanity is about, two feet, you know, in linear foot. And the bathroom is a seven by about eight foot space with an eight foot ceiling. We’re responding today. The loss happened yesterday. Again, medium contents throughout. Our goal is just to do extraction, stabilization, and get this thing set up for drying. I think we should probably disengage the baseboards just so that, we can get good airflow to the drywall that’s behind it. Done. K. So Perfect. I bounced around a little bit. Right? Like, it wasn’t perfect. It’s never gonna be perfect. Right? You may think of something from a room that you were just in and then maybe mention it again or maybe make a statement to the whole project as you go. But the key elements here is I mentioned the room. I mentioned some room sizes because I wanna see some great value right away from Scope. And and I just briefly describe the environment. Right? So I’ve got some carpet installed. I’ve got baseboards. I’ve got these different elements. And then from there so that was I don’t know. That maybe took me about 30 seconds maybe to a minute to describe. And now from there, we can take that and immediately generate an initial scope right after walking on-site within a few minutes. And, Shaun, you wanna Yeah. Go on. I’ll I’ll let me pull share my screen here for a second, and, I’ll I’ll show it in two spots. First, I’ll start start in our mobile app. So Joe used our mobile app. So here’s that job and here’s that note that he just described. So using voice to text, everything’s in there. And, for the sake of of we’ve generated the scope on this behalf already. So here’s the scope generated purely from that note. And now what we’re gonna show is actually a new feature or or an enhancement to Scope that’s gonna be coming out on Monday for everyone as well. Is when I look and open up that scope now on mobile, and this will also be on web, we’ve always had this data quality section at at the bottom of the scope. Scope. What we’ve now done starting on Monday is we’ve pulled that out and put it side by side with the scope. And we’re highlighting information from that data quality to help you see, how we’ve been able to interpret that job based on the data and the job to give you guidance into other things that you may need to capture and data you need to get. So in this case, as expected so we shouldn’t be worried that it says critical here. But as expected, in this scope, there’s no photos. Right? There’s no measurements. There is no floor plan generated even though Joe spoke to measurements. But we highlighted to you as you was like, okay. Hey. There’s some missing information. But but that’s okay because the scope itself based on that high quality description that we got is extremely, extremely robust. And let me jump over to, web so it’s a lot easier to see. So here’s that same job, and here’s that that same scope. Let me open that up. And, if you’re on our desktop app after the field team has done it and you wanna view data quality, you can now see data quality alongside the scope. So, again, further helping you understand, are there other data that we need to capture on this job? And then from this, I’ve already sent this into Xactimate. So within the ten minutes that it took Joe or less than ten I think it was at three minutes, Joe, to do the voice description, run your scope, which takes less than ten minutes, and then send it to Xactimate, which takes less than five minutes. So under 20 minutes, you can now have within your Xactimate file a preliminary estimate that is costed. And I Joe Joe, I think this is one thing that we’ve talked about over the last year and a half that we’ve been working together is this, you know, is revolutionary because usually, the estimate that we have to create in restoration is the invoice at the end of the job, and and you have to start working before you even know what what a completed cost could be. But with this technology, with simply from a voice note, we can create the line items and send it into your Xactimate file and get and get you going. What you wanna expand upon that, Joe? But I think, like, this is pretty powerful that if you want within your workflow within you can now have an Xactimate priced out estimate. Yeah. This this absolutely just completely flips our entire industry, upside down. Right? So we’re the only industry in the entire world that when we show up at a customer’s home, we can’t produce an estimate because estimating traditionally been this complicated, difficult, technically required skill to do inside of Xactimate. And we basically collapsed that into a matter of minutes, and anybody can do it. What this does is it allows you now to actually know the value of the work before you commence. Now you can staff it correctly. You can use the right assets. You can communicate with your carrier, you know, requirements. You can you can literally communicate with your customers and well, missus Smith, like, the cost is x. This is what we’re estimating. So in in today’s world now, we can actually give a real estimate. In our industry, we’ve always called the thing we do at the end of the job an estimate, and that’s really an invoice. And so now, first time ever, we can generate an actual estimate in the in the context in which our industry truly appreciates and understands within a few minutes. Yeah. And I think power. Sorry. Go ahead, Joe. No. That’s go ahead. Yeah. And and I think what and the way we’ve structured the product is, you can do it anytime during the job. You can do it within those first ten minutes based solely on that damage description. Or at the end of day one, like we’ve done here, you can generate a more robust scope that the data quality is better. We don’t have critical anymore because we have Floor Plan. We have photos and everything in there. And then you can go into Xactimate. Go back to your sketch into that same file. Import that updated scope right into this file again. And then side by side with an Xactimate, you can see the difference between that scope, the estimate that you created based on a simple damage description, and the line items and estimate that came off for that more robust scope that you created. And then you can do that throughout the jobs. So then at at the end of the day, the end of the job, when you run that final scope and you create that final estimate, it’s built on the foundation of those other scopes that you’ve done. You can see here that have the estimate from the original source that we’ve pulled in, and now we have the estimate broken out better and organized much better with an actual floor plan and sketch created that allows you to then finalize that that thing. I think, Joe, that work that me and you have been doing and the team has been doing to get this out there, giving you, the RC, our customer, the flexibility to generate the scope when it works for you and your workflows, and now bring that information as early as possible into the job and get and get the information going. So, I think it’s really powerful. This slide really sums it up that as the job progresses and as the data you capture in the job right now, with Scope to Estimate, the speed to create an estimate is fast. Right? Minutes as soon as you have that estimate. And as the job progresses, as your team adds documentation, the defensibility based on that original job description with all the backed up data, equipment readings, equipment placement, photos, notes, the defensibility just gets stronger and stronger as that job progresses. And and so what happens, right, Shaun, is that now I’m day three, four. The job is done. I did an initial estimate. Right? Not a just a scope and an actual estimate. And now I hear them at the end of the job. The technicians have gotten the photos. Right? They’ve done all the things. And now And now I have a defensible invoice. Now think about that for a minute, Restores. An actual defensible invoice, not a week after the job, not two weeks after the job, not after the carriers already reviewed it and kicked it back three times. When you’re actually done with the work, you can now deliver a defensible instantaneous invoice. So just word to the wise, maybe we stop calling the thing we send to the carrier an estimate at the end of our projects. We should. Because now Encircle gives you the power to deliver an invoice when you’re done with the job. Perfect. Yeah. I think I think that’s amazing. And I think, looking at the time, I think we’re good. And I what we have now is to show you a real exciting kind of promo video that we’ve created, and then we’re gonna pull myself, Joe, and David back to answer some of your questions. With Encircle Scope to Estimate, you’ll go from field documentation to a first draft Xactimate estimate in minutes. Once you’ve captured the job in Encircle with a damage description, photos, daily notes, moisture readings, and a floor plan. Tap ‘Generate Scope,’ and Encircle AI turns that field data into a complete defensible mitigation scope. You get a project narrative, room by room tasks, and IICRC aligned justification for every line item. It catches the line items, equipment needs, and other unique details that are easy to miss when scoping from memory, so you don’t leave money on the table and adjusters have less to push back on. Review and edit, then click Send to Xactimate. Your sketch and line items land right in Xactimate, quantities included. Your estimator now picks up where the AI left off, reviewing and refining instead of building from scratch. That’s a defensible Xactimate estimate in minutes, not days. Describe it, document it, scope it, send it, review it, done. Try Scope to Estimate today. So exciting. I don’t know if anyone else is dancing along to the music, but so super exciting. So welcome back, Shaun, Joe, David. We this this hour is flying by. We have about nine minutes before we need to wrap and and get everyone get everyone out the door because I know so many people are gonna be excited to just go and try this thing. So I wanna make sure that we we save time for that. First question, Joe, I know how excited you are. I know how much work you’ve put in and heart and soul you’ve put into this over the last two years to get to this point. What does this change? You’ve touched on this a little bit already. What does this actually change for the restoration industry? Well, the intent is that we’re able to create a narrative and a clear understanding of what the loss is from day one to communicate that out to everybody. And that level of clarity is what does and proven to correct the claims process that allows for the claim to go simpler, easier with less resistance because the reality is is everyone who’s gonna approve your file will never step foot on that loss. That’s kind of the reality, and this gives the understanding of what actually took place. That’s and it’s communicating it in Xactimate, the the form, the function that the carrier expects. And so it should establish an a much better clean claims process for all involved. David, anything anything you wanna add to to that? I I I think that I think that Joe makes just a really good point in what he said a few minutes ago, where it’s kind of the it’s a terrible, terrible, terrible, terrible habit that that, restorers have had where they send an estimate a week later and an invoice a month later. And it it sets up a kind of dropkick that happens at the carrier. And I think that what this is gonna do is it’s gonna keep that dropkick from happening. And what we notice over and all over and over in client processes is when we can advise the we can advise the carrier in contemporaneous ways like this, it changes the outcome a lot because and that’s what this is doing. It’s giving them better information sooner. And I think that’s that’s where that’s where the real power is. Amazing. Shaun, when I started this, I I mentioned that we wanted to be really clear that this is not this is not replacing restorers. This is not replacing estimators. Can you just reiterate where does the restorers’ judgment fit versus where the AI fits? Yeah. You know, as we’ve talked about and as you’ve mentioned, you know, the technology of AI is an enabler and an enhancer, and that’s how we’ve chosen to implement it. And regardless of what technology you’re using, pen and paper, Encircle, Encircle Scope to Estimate, with Encircle AI, the data needs to be collected in the field. The understanding of the job needs to happen by your team, and that needs to be put into our system regardless of whether you use our AI to convert it because the estimator needs to take that information, understand it, research it, and create that estimate. So all we’ve done is helped move the transfer of the information from the field, which is really important to capture as David and Joe have been talking about. And, you know, automagically, leveraging AI, transition that over to the estimator into the program that they’re using, which is Xactimate, and then they can do their work. So we were putting in the middle, but your team and your expertise bookend the process as they did five years ago, as they do today, and as they’ll always do tomorrow. Yeah. I like what David said earlier about removing the skilled secretarial work and almost replacing it with or amplifying your skilled estimating work with only the things that you can know about that job and and your business and applying those things instead of data entry and building things from scratch. I love that. David, I know that you’ve been haven’t just been involved in this webinar today. You have been working alongside Joe and Shaun in the Encircle team for a couple of months now. Can you tell us a little bit about your team’s involvement in helping get to where we are today with this feature? What what we did was we took a series of files that that that Joe provided us. We provided estimates for those. Those were also run through the automation so that Encircle could take a very qualified level three estimator and kind of overlay some of that intellect back into the Encircle software. And so what we did was we just basically did an upgrade to what Joe was already doing by providing more verbose line items to ultimately wind up in the estimate. Joe, any is is David underselling his his involvement here, or can you add a little more color to, to what they Yeah. I mean, just just a little bit. Dave’s help’s been, absolutely, like, the you know, it’s so imperative. For all those guys out there watching, if you’ve ever used Dave’s services, you know, they write an amazing scope. They do it non biased. They do it really ethically. And that’s really what attracted us to using Dave, right, is we were able to get really honest estimates written on the damage, like, with no opinions, no bad days, no personal, agendas, just the damage. And that’s what we were seeking after. And so that honesty, that integrity that Dave’s team was able to deliver on what the damages really were from the files really helped us enhance our overall estimating approach to ensure that we’re bringing that same neutral, honest, here’s the damage, here’s the things that have to be done to the actual final estimating product. And so, you know, again, Dave’s team was just unbelievably helpful in that process. Amazing. Thanks, Joe. Question for for all three banter back and forth. What’s gonna change? We we talked about I mean, I’m in I’m in marketing. We’ve we’ve done this a new era of estimating. What is gonna change? What are you guys expect how are you expecting estimating behavior to shift over time as teams adopt this? I expect the value. I expect the value of the person who walks the loss to go up, not down. And that’s gonna you’re gonna see that you’re gonna see that go over and over and over again. That value of that human is gonna go up, not down. Yeah. Yeah. And I think from a prod a product perspective, feeding off of that from David, our job as Encircle is to support that person as their value increases. So what additional tools can we provide the person on the job site like we’ve now provided the person in front of the computer creating the estimate? So we’re gonna continue to ramp up our product and our offering to help capture the data when you need it and synthesize it how you need need to do it. And like David said, continue to upscale and increase the value of the team that does the real work and the team that shows up on the job day one. Right? The emergency team, that’s what these are. Yeah. And and I can speak to an aspect of what it means for the restore at the end of the day because our beta users shared it clear as as loud as they could to us, and here are the things that they found. First and foremost, the average file had way more photos, notes, and documentation. What did that translate to? A cleaner, defensible file. That was the first thing they all gained from the opportunity. The second thing is the claims closed in a shorter time period, statistically. So what did that really mean? That means that cash flow came into the business with less resistance at a more timely approach. And the last thing, which they were all excited about, so again, I know this is where how it’s going to impact the industries. Every one of their estimates were increased on an average of about two to five percent more than what they were originally estimating for. And so not only do I know that it’s gonna increase the value of the overall claim accurately to identify the right damage, it’s also going to shorten the claim cycle. Right? And third, it’s ensuring that you have defensible files. These are the actual takeaways that we’ve seen so far. So if I was to project on where it’s going, it’s only gonna be more of that for the restore. Amazing. And, Shaun, as as the the guy responsible for products scoping and estimating product development in Encircle, where is this going? What’s Paul mentioned we’re not stopping here. This is just the beginning. This is the start of a new era. This is not this is not the end. So where are we going from here? Yeah. Definitely. And, you know, Paul mentioned a a few things. We’ve talked about these things over the last year as we’ve been kind of introducing Encircle AI to to to the market. First and foremost, we’ve really been focusing on the mitigation scope and the mitigation workflow. So we are for sure gonna be expanding that and supporting the other lines of service that you have, contents, scopes, and estimates, and rebuild scopes and estimates. Those are things that are on our road map and that we will be doing, and they really build off of all the foundational work that we’ve done, the scoping and estimating. As Paul also talked about and we’ve said before, taking that field data that you capture and synthesizing it into the scope of work. One downstream workflow is the estimate, but there are many, many more. What are the work orders and tasks that the team need to do? How do we integrate that with the scope so the field team that shows up on day two knows what they need to do based on what happened yesterday and what was happened on on the loss? So we’re gonna be, you know, servicing more and more of that functionality. Another thing specific to scope and estimating is the ability, for you, the RC, to kind of provide your SOPs in the Encircle and any specifics for the job. Like, if it’s dedicated by a carrier that has specific rules that says, I I I use this line item, not that line item. We’re gonna introduce the ability over the next little while so you can add that information in the Encircle, and we’ll take that into account in further customizing and personalizing your Encircle file for you and that particular job. So those are kind of where we’re going both in the field and in the office to help make the workflows work perfectly. Thank you so much. I wish we could chat longer, but I wanted in the interest of time, we should we should probably wrap this up. So thank you, all of you, for your time and sharing all of this exciting stuff. But the people wanna hear how they can get their hands on it, so we’re gonna start start wrapping things up now. Couple of things I wanna leave you with, and this has been mentioned already. Documentation has always been the thing that made Encircle Encircle for the last 14 years. We are, excuse me, we are the most trusted way to capture what actually happened on a job. And what’s new is that same trusted data that you guys have always used to justify your estimates now creates the estimate. So that data is creating the estimate. You capture that proof once in the app, and then that field data becomes first an IICRC aligned scope, and then an Xact estimate that’s ready for your review in minutes, not days, so you’re not sending invoices 30 days later. So what does that mean? It means you’re capturing everything before you leave the site just like you did today. But after today, everybody here is going to do a better job of capturing a damage description, telling the story of that of that loss. What that’s gonna do, it’s gonna catch billable line items that might otherwise get missed. It’s gonna price against your Xact price list that you choose. You’re gonna build those those mitigation estimates in minutes, and you’re gonna and every estimate is gonna be it’s gonna be defensible because it’s backed and aligned with the IICRC. And like Joe said, teams are teams running this are already seeing a minimum of of five to to ten percent more revenue captured on every job just from just from what used to get missed and what what we’re able to capture from that from that description. So this really is a new era of estimating. That’s it for today. Thank you so much for spending your hour with us. We genuinely appreciate your time. We hope you’re as excited about this as we are. That’s it. Thank you so much, and have a wonderful, wonderful rest of your day.

The old way: every tech documents a different way, an estimator builds a scope from notes and instinct, and the number gets picked apart on the adjuster’s desk.
We’ve spent fourteen years building it: structured, IICRC-aligned job data, captured the same reliable way on every job, even offline. That’s not a feature. That’s the thing that had to exist first.
The new era: now that data—the photos, videos, notes, moisture readings, floor plans you already capture—fuels a scope and estimate in Xactimate™, with sketch, line items and all in just minutes. Your estimator applies their judgement and experience to review and refine rather than building it from scratch.
